Working together

We want everyone who works at or with Microsoft to be safe and healthy. That’s why we ask employees to be aware of any risks presented by the tasks they perform at Microsoft. This way, employees can plan how to do their work safely and avoid any potential hazards. This applies to all people who work at our sites, including those directly employed by Microsoft and any contract or temporary workers employed by a third party. We thank everyone for their cooperation.

Overview of the French framework

France’s OHS framework (Code du travail and the 2021 Loi Santé au Travail) requires employers to ensure workers’ physical and mental health and safety via risk assessment, prevention, information and training, and organization/resources adapted to work situations. Microsoft France complies with this framework and integrates it into our global OHS programs.

Workplace risk assessment (DUERP)

Microsoft maintains a Document Unique d’Évaluation des Risques Professionnels (DUERP) that inventories workplace risks; it is updated annually (required for companies ≥11 employees) and after major changes. The DUERP and action plans are retained internally and kept available to employees, the CSE (Comité social et économique), and where applicable, the CSSCT (Commission Sante Securite et Conditions de Travail), the labor inspectorate, and the occupational health service for 40 years.

Occupational medicine

In France, occupational medical visits are conducted by the service de santé au travail in accordance with national regulations. These visits help ensure that employees can work safely and maintain their health throughout their employment.

Types of occupational medical visits:

Information and Prevention Visit (VIP) (Visite d’Information et de Prévention): For every new hire, a VIP must occur within 3 months of starting (before start for minors/night workers).
Periodic follow‑up (Visite périodique): VIP is renewed at least every 5 years (shorter intervals for higher risk roles at the physician’s discretion). A midcareer visit is generally held around age 45, per recent reforms.
Return‑to‑work visit (Visite de reprise): Mandatory after maternity leave, after an occupational disease, after a work accident with ≥30 days off, or after ≥60 days of nonoccupational sick leave; generally, on the day of return and within 8 days.
Employee‑requested visit (Visite à la demande du salarié): Can be requested at any time by the employee, confidential, no justification required.
Employer‑requested visit (Visite à la demande de l’employeur): Can be requested at any time by the employer, but must be justified (e.g., concerns about fitness for work).
Occupational physician‑requested visit (Visite à la demande du médecin du travail): Initiated by the occupational health physician when deemed necessary.

How to find your local occupational health provider:

Contact details for the occupational health service (service de santé au travail) covering your site are posted on mandatory workplace notices (affichages obligatoires) in each building.

Process for medical examinations

Microsoft arranges required exams with contracted occupational health providers; employees receive scheduling guidance directly. Contact Global OHS with any questions.

Safety for visitors and external staff

All visitors must review any posted safety guidance before entering Microsoft France premises.
External staff must receive induction and must provide required documentation before starting work.

Safety Committee

The Safety Committee is a group of employee volunteers who work to improve health and safety in our workplace, creating a balance between our work and our work environment. The primary functions are:

Champion safety procedures and support safety communications to employees.
Ensure measures proposed to prevent work-related accidents and illnesses are implemented within the organization.

The Safety Committee is typically composed of managers and employees. Team members interested in joining the committee can contact Global OHS for more information.

The Microsoft France Occupational Health and Safety Committee (CSE) and its subcommission CSSCT play a key role in improving health and safety at Microsoft France. They review risk assessments (DUERPs), prevention plans, and major changes impacting working conditions. Committee members also participate in inspections and initiatives to prevent psychosocial risks.

Ergonomics

We want all employees to be comfortable, healthy, and productive at work and in their lives. Microsoft provides an interactive ergonomics self-assessment tool so all employees worldwide can learn how to improve their workstation setup and work habits in the office, at home, or on the go.
