They apply to all employees and external staff, and are governed through structured oversight, audits, and continuous improvement processes.

Programs and guidance descriptions

Incident reporting and investigation program

This Incident Reporting and Investigation Program outlines the minimum global requirements for reporting work-related incidents, conducting comprehensive investigations, and ensuring adherence to applicable regulatory standards at all locations where Microsoft employees work. For the purposes of this program, work-related incidents include injuries, illnesses, property damage and near misses.

Inspections and assessments program

Microsoft defines inspections and assessments as the process of verifying compliance and conformance with health and safety requirements at Microsoft workplaces to ensure a safe and healthy work environment. These workplace inspections and assessments are an important part of a proactive health and safety culture. This program is designed to establish minimum requirements and guidelines for conducting inspections and assessments at Microsoft workplaces to:

Identify unsafe conditions
Review equipment and specific areas
Check for compliance with Microsoft standards and/or local requirements
Determine actions plans to prevent or eliminate any unsafe conditions
Help ensure a consistent approach for workplace inspections and assessments
Monitor the performance of the existing programs related to workplaces

Occupational noise program

This program describes the minimum global requirements for Microsoft employees and external staff to prevent hearing loss from potential exposure to elevated occupational noise levels. It also provides information about the hearing conservation program for individuals with documented exposure above an 8-hour time-weighted average (TWA) of 85 dBA.

Occupational health and safety management system program

At Microsoft, health and safety are integral to the company's operations and support its mission to empower every person and organization on the planet to achieve more. In alignment with this mission, the Global Occupational Health and Safety (OHS) team has developed and implemented an OHS Management System (OHSMS) to enhance the health and safety of Microsoft's extended team.

This system is implemented within the context of Microsoft's global operations and is supported by digital platforms such as aka.ms/SafetyHub, which centralizes guidance, tools, and reporting for health and safety. The OHSMS reflects Microsoft's organizational structure, technological environment, and commitment to innovation. It is designed to adapt to evolving legal requirements, stakeholder expectations, and emerging health and safety risks.

The OHSMS includes a set of global OHS requirements designed to build a strong safety culture, enhance organizational visibility, and clarify roles and responsibilities. These requirements are designed to comply with or, where possible, exceed both international standards and local regulations while enabling effective monitoring and management of health and safety performance. All OHS support personnel are required to engage with the system, follow its requirements, and actively contribute to maintaining a safe and healthy work environment.

Personal protective equipment (PPE) program

This document provides requirements for Microsoft full-time employees (FTEs), interns, and external staff (where applicable) on the use of PPE to control workplace hazards when engineering or administrative controls are not adequate or infeasible. This Program covers selecting, acquiring, using, inspecting and maintaining common types of PPE.

Regulatory monitoring program

This program establishes the minimum global requirements for assessing legal compliance at all Microsoft locations by:

Identifying and evaluating legal requirements related to occupational health and safety, relevant to Microsoft's activities, whether conducted directly or by third parties.
Assessing and addressing the impact of these requirements on employees, the company, and external staff to ensure a safe and compliant work environment for all stakeholders.

Risk assessment program

Microsoft established the Risk Assessment Program to meet regulatory requirements for systematic hazard identification and the implementation of effective risk controls. This program ensures consistent risk management practices, supports compliance, and promotes ongoing improvement in health and safety across all operations.
